JOB SUMMARY:HR Officer will provide assistance to Administration and HR Manager in all areas of HR and personnel management including performance management, recruitment, scheduling test and interviews, finalizing the interview score sheets, record keeping and maintaining HR files. He/she will also be responsible to properly maintain/update the Human Resource Information System (HRIS) for all project staff.Specific Responsibilities:1. Facilitate recruitment process for regular staff, short term hires and consultants by carrying out following tasks;
Prepare job advertisements and publish/upload in relevant newspapers/websites
Conduct initial screening of CVs following the established criteria and submission to Administration and HR Manager
Schedule tests and interviews
Prepare documentation and interview folders for interviews
Perform background checks for new hires
Prepare offer letters/employment contracts, consultancy contracts and confirmation letters
Facilitate orientation process for all new hires
2. Ensure all personnel files are up to date and compliant to HR policies and procedures;
Prepare personnel files for new inductions and collect documents from new hires for opening and maintaining files
File all midyear review forms / emails and annual appraisals in timely manner, as well as any other documentation relevant to personnel files
Update existing files as instructed by supervisor (as and when required) ensuring all the required documentation is on file
3. Assist Administration and HR Manager in implementation of performance planning and appraisals processes.4. Maintain/update all staff information in MEDA Human Resource Information System (HRIS)5. Maintain staff leave and time sheets records6. Facilitate staff reimbursement of medical insurance claims7. Coordinate with Administration and HR Manager to maintain life and medical insurance policies for all staff8. Inform finance department timely of all new hires and separated staff9. Ensure exit clearance process has been completed for all separated staff when applicable10. Any other task assigned by the supervisor
